Icon.Product.png The term Product represents something that is for sale. It is possible to have more than 1 product per part. In the illustration shown right, although the Products have distinct product numbers, they all really represent one single part. This is especially useful when you want to market one part in different ways.

In Fishbowl Inventory a part is something you purchase and use, while a product is something that is sold on a Sales Order. You may or may not have the product number the same as the part number. Unless specified otherwise, when a part is created and marked to be sold, a product is automatically created.

You may create a new product in three different ways:

  1. In the product module using the New product wizard located on the module toolbar
  2. In the part module, using the New part Module and marking the part to be sold. A product will automatically be created.
  3. By Importing a text file or csv sheet (see Part, Product, and Vendor Pricing import)

Create a New Product

A new product may be created from the Product Module by clicking on the New File:New.JPG icon located in the module toolbar. Select 'New Product' from the dropdown choices. The Product General Subtab will now be ready to populate with the following fields:

Product: The number for your product. This is the number that will show on your sales orders

Prod Desc: The description of the product. This will also show on your sales orders

Part: Select the dropdown arrow or click on the binoculars to find a part you wish to tie this product to.

Part Desc: This field will auto-populate with the description of the chosen part.

Price: Enter the price at which you will sell the Product.

UOM: This field is the Unit of Measure you will sell the product as. If you have a Unit of Measure conversion set up, you may sell your product at a different UOM then you purchase it as.


  Select whether your product is Active (you cannot delete a product once it has been created. However, making it inactive will remove it from any view when searching unless you are using an advanced search for inactive parts) or Taxable.


You may also add an external URL for your product if desired. To do so, click on the URL Image:'edit_item'_symbol.JPGedit button.  A box will display itself for you to enter the  desired URL address.  To check your link, click on the test button. Once you have finished, click ok.

Manage Pictures per Product

  Fishbowl allows you the opportunity to insert pictures for parts and products if desired.  When you add a picture in the Product Module, the graphic will also appear in the Search Panel.


To insert a picture choose the Open Image Icon Image:Open_image_icon.JPG located to the right on the Component Toolbar. A browser screen will open for you to search your hard-drive for the graphic. Once you have found your file, click open. The graphic will now appear in the picture window.

  The save image as Image:Save_image_as_icon.JPG icon allows you to save the graphic onto your hard drive. 

  Clicking the delete Image:Delete_icon.JPG icon will remove the graphic that is currently in the picture screen.

  The full-sized view Image:Full_sized_view.JPG icon will display a pop-up box with the image in its original size.

  The Change Image Options Image:Change_image_options.JPG icon allows you to create different default sizes for your graphics. If your graphic is too large originally to show on the picture screen, you will want to adjust the size so it may properly be displayed.


Modify or Delete an Existing Product

Once a product has been created and acquired a history, it cannot be deleted. However, you have the option to inactivate a part through the Product Module. Choose the product to inactivate, and select the General Subtab. Beneath the General Information section, deselect the Active box. Your product will not longer be visible in the Product Module, or available for any orders. However, if you choose to activate or view the part again, you may do so through the Product Module | Advanced Search feature. 


Under the Search Tab, in the Products Module, double-click your existing Product. The product details will then appear on the right hand-side of the screen.

Modify/Change the Product Number as desired and enter a new description in the Product Description field.  Click Save from the Module Toolbar to save your changes. 

Duplicate a Product

  Fishbowl gives you the option to duplicate a Product in the Materials Module Group | Product Module.  To do so, in the search panel double click on the product you wish to duplicate. Once the product has pulled up on the main screen, click the duplicate Image:Duplicate_PO.JPG button located on the module toolbar.  

Fishbowl will immediately bring up a dialog box informing you of the product that was duplicated. Whenever a product is duplicated it will always be created as a 'Copy of ___'.  After the product is created, you may change the name by editing the Product field and clicking the save button on the Module Toolbar. 


A duplicate product is still tied to the part of the original product. Therefore, the inventory tied to the duplicate product will be the same as the original product. When a product is duplicated the Substitute, Pricing, and Memo subtabs will not be copied over from the original product.

Assign substitute parts

When either placing items on a Sales Order or manufacturing, Fishbowl provides the ability to substitute items. Within the Product Module | Substitute subtab, a list of products can be chosen to replace the product in the event of insufficient quantity. Simply add new substitute items by choosing the Add Substitute Product located on the Component Toolbar and choosing a substitute product from the given drop down menu. Substitute Products that are included on a kit will be shown beneath the Included on the Following Kits section of the Substitute subtab.

In the event of insufficient quantity when a product is added to a Sales Order, the user has the option to Add Anyway, Drop Ship, Substitute a Product, or Cancel. When the user chooses the option to Substitute, a dialog box will be displayed with the list of available substitute. Choose the item to substitute and click ok.

Assign Multiple Products per Part

A Product may not be assigned to multiple parts, however a part may have multiple products assigned to it. Within the Part module|details subtab, view the products section. Choose the New Product File:New icon.JPG icon located on the Component Toolbar. The Add Product box will be displayed. Enter the new product's Product Number and Description into the specified fields; if applicable, you may also enter a price for the new product. Choose ok to save your changes. In the Part module the new product will now have been added to the products section affiliated with the specified part.

The Product Tree

The Product Tree is located in the Materials Module Group | Product Module. The Product Tree allows you to organize your products into Categories and Subcategories. This is useful in organizing your products and quickly modifying pricing rules to entire categories. For example, let's say you own a bike store. You could create categories such as Bikes, Bike Parts, etc. You can also list one product in multiple groups; therefore you may want to create several types of classification systems if necessary. The Categories and subcategories you create are useful, especially when pricing items. You can quickly apply a special pricing discount or markup for every product listed under a certain category.

Click the Product Tree Image:Product_Tree_icon.JPG icon located on the Module Toolbar. The screen that will appear is divided into two basic sections. The left side of the screen is where you create your categories or subcategories to organize your products. The right side of the screen allows you to search and filter your list of products.


Create a New Category
Fishbowl provides you with two ways to create Categories. You may import categories for your Product Tree using a CSV import file, or you may manually enter them into the Client. For detailed instructions on how to import Categories, please see the Product Tree Category Import; or, see below for instructions on how to manually enter categories into the Fishbowl Client.

First select a parent category (likely the default Product category) for your new category to fall under. Then, in the bottom left hand corner of the Product Tree screen, click on Add Category and enter the name and description of your new category.

  To add a subcategory, simply highlight your category and click 'Add Category' again in the left hand corner of the screen. This will create a subcategory beneath the selected main category.


Adding Products to the Tree

  Fishbowl allows you two ways to add products to a category. You may import products for your Product Tree using a CSV import file, or you may manually enter them into the Client. For detailed instructions on how to import products, please see the Product Tree Import; or, see below for instructions on how to manually move products under categories using the Fishbowl Client.

  In the Product Tree Screen, highlight the Category with which you wish to associate the product.

  On the right side of the Product Tree Screen search for the product you wish to put under your category. You may search by product number, product description, part number, or by an advanced search. Once you have found the product you wish to associate under the category, click the left arrow Image:Product_tree_left_arrow.JPG to move the product to the left side of the screen.

  To edit or delete the Product Tree simply highlight the Category, Subcategory, or Product you wish to modify and click the corresponding edit Image:'edit_item'_symbol.JPGor delete Image:'delete_item'_shortcut.JPGicon located in the left hand corner of the Product Tree Screen. You may also refresh Image:Refresh_product_tree.JPG the product tree if you wish by clicking the refresh icon.

About the Product Module

General Subtab

The General Tab opens the General Information screen. This screen contains the Product Number, Product Description, Part, Part Description, Price and UOM. All this information comes from the initial creation of a New Product. For more information on creating a new Product see Create a New Product. Every field except for the Part and Part Description can be edited here simply by typing into the appropriate field.

This subtab allows you to indicate whether a Product is Taxable or Active. If Taxable, Fishbowl will automatically add in the applicable Sales Tax whenever an SO or POS is created. Once a Product is added to Fishbowl's database, it cannot be removed. However, by unmarking the Active link, the Product will be removed from the Product Search Panel, and only be visible under certain search filters.

You also have the option of having this product show up on the SO combo box or not. Simply uncheck the box "Show on SO Combo Box" to make this product not show up in the SO combo box.

Finally, the General Information screen also includes a link to an internal or external URL. Internal URLs need to be in the following format if you are mapping to a file internally: file://C:/Documents and Settings/....

You may also enter any detailed Notes you wish to add for the product, as well as a graphic of the product. Please see Create a New Product for more information on adding and editing URL's and Graphics.


Details Subtab

The Detail Information screen allows you access to specific information regarding this Product.

The top portion allows you to enter a UPC number (typically a vendor bar code number). When using a barcode in the POS module, the scanner will look at the UPC number to determine if the correct Product is being sold. You may also enter a SKU number (internal identification number) for the product if you wish.

The Alert section allows you to enter a note that will be displayed as a pop up box each time this product is placed on a Sales Order.

If you would like your product to be sold in other Units of Measure than the one it was originally created in, simply check the box that states, "Allow product to be sold in other UOM's."


The next section has to do with the Size and Weight of the Product. There are fields for Width, Height, Length as well as Weight. Fishbowl also offers drop-down menus with both metric and none metric measurements. This information will be added up and automatically entered into the appropriate weight fields in the Shipping Module.

The third section allows you to choose an Income Account from the drop down menu. This is the account that will be adjusted when this product is sold on a Sales Order. When you go through the Accounting Configuration Wizard, this drop down list will auto-populate with your QuickBooks Chart of Accounts.

The Inventory Component at the bottom of the module view screen summarizes your current quantity on hand and the quantity committed for the part that this product is tied to. This information is pulled from the Inventory Module. The information shown for quantities in the Inventory screen will update with each Pick, Pack, or Ship the product goes through.

By clicking on the Display More Information Image:Info_symbol.JPG button located to the right of the Inventory Component section, you can get an even more detailed breakdown of your inventory, including how much Inventory is being stored in each of your Location Groups.


Substitute Subtab

The substitute subtab allows for specific products to be substituted for others when they are out of stock. In the Substitute subtab click on the 'add substitute product' button and select from the drop-down list which product may be a substitute.

If you create a Sales Order and try to add a product without inventory, a box will be displayed giving you the following options: Add Anyway, Drop Ship, Substitute, or Cancel. Clicking the Substitute button will bring up the list of substitute products specified in the product module. Simply highlight the line item you would like to add and click 'ok'. The substitute product will then be added to the Sales Order.


Pricing Subtab
The Pricing subtab allows the user to create new pricing rules, as well as edit or delete existing pricing rules. For detailed instructions on how to Create, Edit or Delete Pricing Rules and Associated Pricing, please see the Pricing Module.

Associated Pricing allows the user to have additional costs tied to a specific product. For example, if your products had an additional charge for delivery you could add this charge as an associated price in the pricing subtab (shown below).


To create a new associated price type, click on the New Image:New_icon.JPG icon located on the component toolbar under Associated Prices in the Product Module (See Associated Pricing Import for instructions on how to bring these prices in through csv import). A dialog box will be displayed allowing you to edit an existing price type here, or allowing you to create a new one. To create a new type, click the NewImage:New_icon.JPG icon again in the Edit Associated Price box. The next pop-up box will allow you to create new associated prices. Click the Close button when you are finished.

When you wish to add associated pricing to a Sales Order, click on the Add item icon located on the component toolbar. Select Associated Price from the list of items to add to the Sales Order (The total of the associated price line item is the sum of all the associated prices on products above the price line item). Click Next. Choose the correct associated price type from the drop down list and click Finish.


Memo Subtab
The Memo field is an internal-use subtab that allows a user to enter notes regarding a specific product. The top portion of the main screen will offer the date notes were given, by what user, as well as a portion of the memo written. If the memo is longer than the top line allotted, you may highlight the entire line and the memo will be shown in its entirety on the bottom half of the main screen.

You may add a new memo, edit an existing memo, or delete a memo by highlighting the line item to be changed and clicking the corresponding button located on the component toolbar.

You may print all the memo notes for a product by clicking on the 'Print Memos' button in the top left corner of the main screen.


Custom Subtab
The custom field subtab is an internal-use field for extra information. You can set up specific names for each custom field line in the Custom Fields Module. You may also do an advanced search for products by custom fields. You can customize reports in fishbowl to display custom information.
