What are Fishbowl Inventory modules?<br>

Fishbowl Inventory is designed to allow the user to easily select an inventory item, observe the properties of that item (ie: quantity, location, tracking parameters, and detailed allocation), then easily adjust inventory levels and properties without having to sort through multiple screens to reference or edit the data. The Fishbowl organization of inventory information into modules gives our clients the ability to view their inventory processes at a glance.

Can_Part_Numbers_be_exported_to_QuickBooks_from_Fishbowl

No; because Fishbowl is a robust inventory-control software, we strongly encourage QuickBooks users to disable purchasing and inventory tracking in QuickBooks after the Fishbowl Integration. Is_Fishbowl_ODBC_compliant

Is Fishbowl Inventory ODBC compliant?<br>

What are the maximum number of items I can have in Fishbowl Inventory?<br>

Fishbowl Inventory has no limit to the amount of inventory items you can manage in your database. However, depending on the amount of parts or data within your Fishbowl database, we do recommend the following System Hardware Requirements to ensure the proper speed necessary to run your datafile.

What are incidents and how do they work?<br>

Once a Customer's Free 30 days Support is over, an incident is used per training and support call that takes place for the length of time 10 minutes or greater. Incidents are not used if a Customer calls in with an issue Fishbowl is responsible for. Customers are given a set amount of incidents with their initial maintenance and support package purchase. Once all their incidents are used, additional incidents may be purchased at $75 each.

Why_are_my_Fishbowl_and_QuickBooks_Reports_not_matching_up

I seem to be having troubles with my Fishbowl and QuickBooks Reports not matching up. How is this fixed?<br>

The first question to ask yourself is, Did your Fishbowl and QuickBooks Reports match to begin with? Meaning, when Fishbowl and QuickBooks were first integrated, were adjustments made in QuickBooks to make sure they balanced? If you cannot find specific discrepancies, the best thing to do is to create a journal entry in QuickBooks to balance the reports and accounts, then check the transactions made regularly throughout the day to see if you can pin where discrepancies are happening.

What is an upgrade

What is an upgrade?<br>

An upgrade is an enhancement to an existing installation of Fishbowl Inventory. Upgrades usually include improved features and bug fixes. A complete list of added features and bug fixes can be found on the Release Notes and Change Log pages. See How do I upgrade Fishbowl? for step by step instructions.

<br><br><br><br>

How do I know if I need an upgrade

How do I know if I need to upgrade?<br>

Fishbowl Inventory recommends to always be on the latest version. If your company has a current Service Contract, you are eligible for all upgrades. You will know if a newer version of Fishbowl is available by the lightning bolt that will be displayed in the top right corner of the Fishbowl Client. This bolt informs the user that the version is outdated and will take the user directly to the download page to receive the latest release.

<br><br><br><br>

Who is eligible for an upgrade

Who is eligible for the upgrade?<br>

You must meet the following two requirements to be eligible for a Fishbowl upgrade:

<br>

# You have a version of Fishbowl Inventory older than the upgrade.<br>

# You have a current support and maintenance contract.

<br>

You must have a current support contract in order to receive a license key (a new license key is required to run most new major upgrades). The format of the license key changes with each major version (such as from 2011 to 2012) of Fishbowl Inventory, so old keys will not work with the current versions.

<br><br><br><br>

Where do I get an upgrade

Where do I get the upgrade?<br>

You can download the latest version of Fishbowl Inventory off our website, or by flash drive (available upon request). You will be notified of upgrades by clicking Help, Check Version from any Fishbowl Client with an internet connection, by the orange lightning bolt that shows up on the top right side of your Fishbowl Client when a new version is available, or by checking Fishbowl Inventory's website of your own accord. If you choose to have the update sent to you via flash drive, materials and shipping charges may apply.

<br><br><br><br>

What should I do before I upgrade

What should I do before I upgrade?<br>

The most important thing to do before completing an upgrade is to make a backup copy of your Fishbowl database. If, for any reason, you should need to reverse an upgrade, only a database backup copy can restore you to your previous state.

<br><br><br><br>

How do I backup my database

How do I backup my Fishbowl database?<br>

The following information will guide you through a step-by-step process on how to make a backup of your database:<br>

<br><br>

* USING WINDOWS

# Browse to your installation directory of Fishbowl Inventory (default installation is: C:/Program Files/Fishbowl).
+
Does Fishbowl handle multi-currency?
# Using the Copy-Paste features copy the following files to a secure location outside the Fishbowl directory: /Fishbowl/database/(whole directory). Unless specified to install elsewhere, Fishbowl will default to install in C:/Program Files.
+

<br><br>
+
Yes. See the Currency for more information.
* USING FISHBOWL INVENTORY

# Log into the Fishbowl Client (preferably as admin).<br>

# Go to the Set Up Module Group, Schedule Module<br>

# Click New in the upper left hand corner to create a new task.

# Enter in a name and description of the task.<br>

# Specify a time you want the database to back up (the Fishbowl Server will need to be running in order for this backup to take effect).

# Change your task type at the bottom to be 'Backup Database'<br>

# Browse to the directory of where you would like the database to back up to (we recommend a secure location).<br>

# Click save in the upper left hand corner to save your newly created Database Backup task.<br>

<br> WARNING: In some cases the upgrades will make changes (improvements) to Fishbowl Inventory that cannot be reversed. If you install the upgrade, and cannot register it--if for example you do not have a current support contract--you will need to go back to your previous installation. At that point, only a back-up or copy of your database can restore you to your previous state.

How do I upgrade Fishbowl?<br>

After you have made a backup of your Fishbowl Inventory database and have downloaded the latest Fishbowl version, you may complete the following steps for a successful upgrade. Fishbowl Inventory provides the ability to Auto Update the Client once the Fishbowl Server has been updated. This is ideal for Companies with multiple clients as it provides a way for each user of the client computer to update quickly and efficiently.

<br><br><br>

Auto Update Instructions

* Note: The Auto Update will update Client install computers only.

<br><br>

To Auto Update client computers, the Fishbowl Server must manually be updated first. The latest version is available for download on our website. Once the Server has been updated, when Client computers try to log into the Fishbowl system they will receive the message that the Fishbowl Server is a different version and be asked if they would like to update.

<br><br>

Once the user has chosen yes that they would like to update, Fishbowl will automatically begin the updating process. When this is complete, a message will be displayed in the installation box reporting the install to be done.

<br><br>

Once the user clicks ok, the Update box will be cleared, and a new box informing the user of the successful update will be displayed. At this point the Client will exit completely and the user will need to restart the Client. When restarting and logging into the Client, it will now be updated and successfully connect to the Server.

<br><br><br>

Manual update Instructions

* Identify the computers and servers which use Fishbowl Inventory. <br>

* Download the appropriate upgrade to your computers. Upgrades are usually found on our website here. We recommend saving the download for the upgrade. Saving the installer to your desktop will work well.<br>

* Shutdown the Fishbowl Inventory Server on the server computer and close all instances of the Fishbowl Inventory Client (the upgrade does not work if the Fishbowl Server is running). <br>

:1. Double click the installer from your saved location. The Fishbowl Inventory Installer will extract the information necessary to begin the Installer which will guide you through the rest of the setup process. <br><br>

:2. Step 1 of the setup install displays a Warning Notice regarding the compatibility of versions between Fishbowl and QuickBooks. Important: Fishbowl 5.2 or newer will ONLY integrate with QuickBooks Pro, Premier, or Enterprise version 2007 or later. Please ensure to have a version of QuickBooks 2007 or newer if your company plans to integrate with QuickBooks. Click next to move to step 2. <br><br>

:3. Step 2 provides the License Agreement for Fishbowl Inventory and Fishbowl Mobile Warehouse. Carefully read through the License Agreement and choose i accept the agreement to continue forward with the installation.<br> <br>

As of the 2010 Fishbowl Inventory with Manufacturing release, Fishbowl offers three methods of installation with several optional features: <br><br>

* 14 Day Free Trial with Manufacturing Option: This option provides a free 14 day trial of Fishbowl Inventory with the manufacturing features. If this option is selected, choosing next will automatically start both the Server and Client installs of Fishbowl. By default the program will install to C:Program Files/Fishbowl.<br><br>

* 14 Day Free Trial without Manufacturing: This option provides a free 14 day trial of Fishbowl Inventory without the manufacturing features. If this option is selected, choosing next will automatically start both the Server and Client installs of Fishbowl. By default the program will install to C:Program Files/Fishbowl. If your company does not manufacture items, this is likely the better fit for you. <br><br>

* Enter License Key<br>

** Server: This option installs both the Fishbowl Server and Fishbowl Client. It is recommended to install on your Server computer only, as work stations only require the Client. This option will install into default locations, however you may specify a different location if you wish. <br><br>

** Client: This option will install only the Client version of Fishbowl, which is the option to select for every computer other than your server. These clients will connect to your server through a network or internet access. This option will install into default locations, however you may specify a different location if you wish.<br><br>

** Download and Install ireport: iReport is a Jasper Software program used to configure custom made reports. This software is available to users; however it is not supported by our Fishbowl Inventory Training or Support Team. <br><br>

** Configure Advanced Settings: The last option offers an Advanced installation. This feature offers these two additions: 1) you may manually change the amount of RAM allocated to the Client and Server, and 2) you may select the Start Menu of where you would like to create Fishbowl Shortcuts. <br><br>

: 4. The following screen will ask you where to install Fishbowl Inventory. The Default location is C:\Program Files\Fishbowl. If you would like to select somewhere different, simply click the Browse button and select a different location.&nbsp; After verifying the location you would like to install to click Next.<br><br>

: 5. The following step asks whether or not you would like Fishbowl to automatically start when you login to Windows. We would suggest to have the Server automatically start as a convenience. Once your decision has been made, click Next. If you selected the Advanced installation, the following screen will provide the recommended allotted memory for Fishbowl on both the client and server. By default the Fishbowl Server will be assigned to 614 MB and the client will be assigned 256 MB. We do not recommend allotting more than 1/4 - 1/2 of your computer's total memory amount. Click Next. <br> <br>

: 6. In the following screen you may select the Start Menu folder in which you would like the setup to create the program's shortcuts. The Start Menu folder will default to the current Fishbowl version, but may be changed by selecting any desired folder. Or, if you would not like to have a Fishbowl folder in the Startup Menu, select the option to not create a Start Menu folder at the bottom of the wizard. *Note: at the bottom of this screen you may also see a box that says Create Icons for All Users. If you are installing on a computer that will require multiple users to have the ability to log into Fishbowl then you will want to make sure this box is selected so icons may be created for all users of the computer. Click Next. <br><br>

: 7. You may now choose whether or not you would like to create Client or Server desktop icons. You may also create Client or Server Quick Launch icons that will be available in the bottom left corner of your toolbar. These options will be selected by default; however you may decide against any of them by deselecting the check box. Click Next. <br> <br>

: 8. The Install Wizard will now extract the files necessary and install Fishbowl Inventory to your computer. Since this is an upgrade and Fishbowl Inventory was already previously installed on your computer, you may or may not be required to enter a license key. If you are required to enter your license key but do not have it, you may request this through Fishbowl Support via email or phone.

<br> Upon finishing the install, Fishbowl will display a box stating that your database is performing an upgrade. Choose ok to start the database update. This may take a long time, depending on the size of your datafile. Do not exit out of the middle of a database upgrade, as this may cause database corruption and could result in needing to start the upgrade from the beginning again. Once your database has successfully updated the Fishbowl Server will automatically start. Your company datafile will also automatically be connected to the Fishbowl Server.

Fishbowl exports items to QuickBooks using the FB_Item code. This allows Fishbowl to store more parts than some versions of QuickBooks. It also allows Fishbowl to use different costing methods (LIFO, FIFO, Standard, etc.) without interfering with the costs that may have been stored in QuickBooks. By default, Fishbowl includes the Item Number and the Item Description in the QuickBooks description field. These can be separated into the separate fields, the Item Code column can be hidden on the report, and additional fields can be added and customized. See Export Item Number, Description, and UOM to QuickBooks for more information.

What is the difference between a part and a product?
<br><br><br><br>
+

Why are my parts not showing up in the Inventory Module
+
A part is purchased from a vendor or manufactured.
Why are my parts not showing up in the inventory module? <br>
+

Frequently the question arises, "My items are in the part module, but they are not showing up in the inventory module. Why?"<br>
+
A product is sold to customers.
The reason for this is because the part is either a non-inventory type, or because the part does not have inventory in stock. The inventory module will only show parts with inventory currently in stock (unless you have the module option turned on to not delete tag numbers when quantity goes to zero).<br>
+

To enter inventory in for a part that does not currently have inventory, you will want to either Cycle Count or Add Initial Inventory. You may do this by clicking on the Cycle button in the Module Toolbar of the inventory module. A wizard will be displayed to take you through the process of adding inventory. You may view Adjust Inventory Quantity for further instructions on how to adjust or add inventory.
+
A part could be a single item purchased for resale, or a component used to manufacture an item for resale. Consider the following bicycle business:
<br><br><br><br>
+

What types of Costing Methods does Fishbowl handle
+
* Some customers purchase individual items, such as wheels, spokes, seats, brakes, handlebars, etc. When you buy these items from a vendor, you are purchasing parts. When you sell the items, you are selling products.
What types of Costing Methods does Fishbowl handle?<br>
+

There are several different types of cost fields requiring different types of information. The following table definies the various types of costing methods that Fishbowl inventory offers.<br><br>
+
* Some customers prefer to purchase completely assembled bicycles. In this case, the individual components that you purchase to build the bicycle are the parts, and the bicycle you sell to a customer is the product. You buy parts, and you sell products.
Warning: Once a costing method is used with Fishbowl Inventory, the only way to change methods is by creating a new database. Always consult with your accountant before switching costing methods.
+

<br>
+
More than one product can be associated with a part, or if a part is never sold, it need not have a product association.

How does the search within Fishbowl work?
Why can't I see all of the modules in Fishbowl?<br>
+

We frequently get asked the question, "Why am I not able to see all of the modules in Fishbowl?"
+
Nearly all modules in Fishbowl have a search pane to the left that allows you to search that module. Clicking the Advanced Search button in the search pane will allow much more customization of the search. Fishbowl also offers a wildcard search by using the % symbol as a wildcard for any number of characters. For example, dental%bib would return Dental Large Bib and Dental Small Bib.

The answer for this is that the user does not have rights to those modules.

We are integrating Fishbowl and QuickBooks for the first time. What do we need to do or know beforehand?
Why does Fishbowl export all items over to Quickbooks as FB_item? Can this be changed?<br>
+

The question frequently arises, "Why does Fishbowl export FB_Item over to Quickbooks instead of using the QuickBooks item number?"
+
The following links will address the process of preparing for the integration, and the steps required to integrate with QuickBooks.
<br>
+

The reason for this is because the costs for each part is stored in Fishbowl. When we export to QuickBooks, Fishbowl creates a journal entry and adjusts the COGS account according to what the costs were in Fishbowl. This also allows us to use different costing methods such as LIFO, FIFO, etc. There is not any way to change this feature at this time.
+
* What should you know before integrating QuickBooks and Fishbowl?
<br>
+
* Getting Started - Integrate an accounting system
If Fishbowl sent the item number to QuickBooks in an Invoice (and that item number was an "Inventory" type item in QuickBooks) then the COGS account would have two adjustments made: once by QuickBooks using the costs it has stored and again by Fishbowl using the costs contained within it.&nbsp; Even with the Inventory features turned off in QuickBooks, it will still make adjustments to the COGS account using the values it currently has.&nbsp; <br>
+

<br>
+
Does Fishbowl print barcodes?
Historically, older versions of QuickBooks use to limit the number of items to 14,500.&nbsp; Using FB_Item also made it so that Fishbowl could have many more parts than QuickBooks.&nbsp; This is not as important now that newer versions of QuickBooks do not have this restriction.
+

<br> See Export FB Items to QuickBooks for additional information
+
Yes! Fishbowl can print barcodes for parts, products, locations, tracking, and more. Most reports will pull information directly from the data that is stored in Fishbowl. For example, a part barcode report will print barcodes using Fishbowl part numbers, so there is no need to enter any additional information. Follow the steps below to print barcodes from Fishbowl.

In this option there is a Skip box that will default at 0, or a Start at Label option. Enter 90 (meaning you will skip the first 90 which you've already seen and show you the following 90). after you have viewed or printed the next 90, you can go to customize again and enter 180 to skip the first 6 pages worth, and so forth.
+

<br>
+
Some barcode reports in Fishbowl may default to printing only 90 barcodes. To view past the first 90 labels, click the Modify Report and increase the count. If you run into problems with the report timing out, you may need to enter a value in the Skip or Start at Label box and view the report in sections. For example, if you enter 100 in the count field and 50 in the skip field, the report will load labels 50-150.
Continue in this manner until you have viewed all of the desired pages. Once again, this is designed so the report will not time out when trying to pull hundreds of pages of barcodes up at once. At this time there is no other work around for this feature. If possibility of a Custom Report is something you may be interested in, please contact Support at 800-774-7085 ext 3 or email support@fishbowlinventory.com

ABOUT FISHBOWL

What is Fishbowl?

Fishbowl is a full-scale, inventory-control software designed for companies that are currently using either QuickBooks or spreadsheets to track their inventory. Fishbowl is an affordable solution that solves many of the problems that only expensive solutions solved in the past. Fishbowl integrates with Intuit’s QuickBooks and is the leading inventory control and manufacturing solution, allowing companies to continue to use the QuickBooks software they already know. In short, Fishbowl provides control over many problems faced by small and medium-sized businesses that are trying to survive in today’s highly competitive business world.

What is a module?

A module is a section of the Fishbowl application. For example, there is a Small.Sales Order.png Sales Order module, a Small.Purchase Order.png Purchase Order module, a Small.Shipping.png Shipping module, and many more.

Can Fishbowl create a bill of materials?

The manufacturing edition of Fishbowl has a Bill of Materials feature. This feature provides users with the ability to create custom, basic, or configurable items. The Bill of Materials module works hand in hand with our Manufacturing module, where users may manufacture, disassemble, repair, or service items. For a more detailed overview of Fishbowl's ability to handle Bill-of-Materials, please see our 10-Minute Test Drive, or our Small.Bill of Materials.png Bill of Materials module.

Can I run Fishbowl without integrating with QuickBooks?

Yes. You can run Fishbowl as a standalone product. You need to integrate Fishbowl with QuickBooks only if you want to import data from QuickBooks or have Fishbowl send accounting transactions to QuickBooks.

Which functions does Fishbowl take over from QuickBooks?

Fishbowl takes over all inventory functions from QuickBooks. Sales and purchase transactions fulfilled in Fishbowl will automatically post "Invoices" and "Vendor Bills," respectively, to QuickBooks. As manual adjustments are made to Fishbowl's inventory levels, any affected accounting data will be exported to update the General Ledger in QuickBooks.

Is Fishbowl scalable?

Fishbowl uses a MySQL database, which is a very fast and efficient database. This means that as your data accumulates and the complexity of your business increases, Fishbowl can grow with you.

Which operating systems does Fishbowl run on?

For a complete list of supported operating systems, please see Supported Operating Systems.

What are the hardware requirements for Fishbowl?

See the Fishbowl website for System Hardware Recommendations.

Which versions of QuickBooks does Fishbowl integrate with?

Fishbowl integrates with the QuickBooks versions found on the following page: Supported QuickBooks Versions

What Fishbowl features would appeal to the independent manufacturer or wholesale/distributor?

Fishbowl provides many features for manufacturers and wholesalers.

  • Multiple warehousing
  • Specific inventory locations
  • Lot, revision, expiration date, and serial number tracking
  • Auto-purchasing for re-order points and backordered parts
  • Outsourcing

  • Staging with work orders
  • Auto-Work orders for staying up to designated levels and sub-assemblies
  • Basic Point-of-Sale capability
  • Extensive Reporting
  • and much more

Does Fishbowl handle multi-currency?

Yes. See the Small.Currency.png Currency module for more information.

Can URLs be associated with items in Fishbowl?

Yes. Below are the locations of some of the URL fields in Fishbowl.

The URL can be a link to a local file, a network location, or a location on the internet.

Can part numbers be exported from Fishbowl into QuickBooks?

Is Fishbowl ODBC compliant?

Yes. Fishbowl's database is ODBC compliant and therefore can maintain ODBC connections with other compliant programs such as Crystal Reports, Wasp Bar-coding software, and Microsoft Access. For instructions on how to complete the ODBC setup, see ODBC setup.

What is the maximum number of items I can have in Fishbowl?

Fishbowl has no limit to the amount of inventory items you can manage in your database. However, depending on the amount of parts or data within your Fishbowl database, we do recommend the following System Hardware Requirements to ensure the proper speed necessary to run your datafile.

QUICKBOOKS INTEGRATION

Will somebody help me integrate with QuickBooks?

Fishbowl provides step-by-step documentation on the Integration and Training Videos that will walk you through the process.

Which versions of QuickBooks does Fishbowl integrate with?

Fishbowl integrates with the QuickBooks versions found on the following page: Supported QuickBooks Versions

Why don't my Fishbowl and QuickBooks reports match up?

Did the Fishbowl and QuickBooks reports match to begin with? When Fishbowl and QuickBooks were first integrated, were adjustments made to make sure they matched? If you cannot find specific discrepancies, one option is to create a journal entry in QuickBooks to make the reports and accounts match, and then check the transactions made throughout the day to see what is causing the discrepancies.

UPDATING FISHBOWL

How do I update Fishbowl?

For complete instructions on updating Fishbowl, see Update Fishbowl.

What is an update?

An update is an enhancement to an existing installation of Fishbowl. Updates usually include improved features and bug fixes. A complete list of added features and bug fixes can be found in the Release Notes. For complete instructions on updating Fishbowl, see Update Fishbowl.

How do I know if I need to update?

It is recommended to always use the latest version of Fishbowl. If your company has a current Service Contract, you are eligible for all updates. You will know if a newer version of Fishbowl is available by the lightning bolt that will be displayed in the top right corner of the Fishbowl Client. This bolt informs the user that the version is outdated and will give instructions for downloading the update onto the server computer.

How do I update my license key?

Throughout the year, Fishbowl releases several minor updates called point releases (for example, Fishbowl 2020.1, Fishbowl 2020.2, etc.). Point releases do not require an updated license key.

Once a year, a major version of Fishbowl is released for the upcoming year (for example, Fishbowl 2021). In order to update to the latest major version, Fishbowl users must have a current support contract, which will allow the license key to be updated automatically.

How do I renew my suppport contract?

You can check the status of your support contract by opening the Small. My Fishbowl.png My Fishbowl module.

Support Contract Information.png

The support contract can be renewed in the module. For contract questions, use the information provided to contact the Account Sales Executive.

How do I backup my Fishbowl database?

To automatically create database backups, use the Small.Schedule.png Schedule module to create a scheduled backup of the Fishbowl database. If possible, the backup should be stored on an external hard drive or network location.

  1. To manually create a backup, right-click the Fishbowl Server icon in the system tray and select Options.
    Server Options.png
  2. Right-click the database and select Backup Database
    MySQL backup.png

How do I restore a backup database?

A Fishbowl database must be restored in its entirety. This means you may not restore or pull only certain orders or bits of information from a backup, but rather must restore all of the data. To restore a backup, you must first be on the Fishbowl Server computer.

  1. Right-click the Fishbowl Server icon in the system tray and select Options.
    Server Options.png
  2. Click the Restore tab and browse to the saved location of the backup file.
    Restore database.png
  3. Click the Restore button. A confirmation message will be displayed once the restoration has been completed.

How do I move an existing installation?

See Move an existing installation for instructions regarding moving an existing Fishbowl installation to a new server computer.

Can I run multiple Fishbowl Servers simultaneously?

Yes, see Running multiple Fishbowl Servers for more instructions.

How do I change my license key?

For instructions on changing the Fishbowl license key, see Change license key.

How do I get a service contract?

Your Customer Service representative will be able to assist you with purchasing a new Service Contract. If you do not know who your Customer Service Representative is, please don't hesitate to contact our team at supportEmail.pngfishbowlinventory.com, or call 1-800-774-7085 ext 7 for assistance.

How do I know what version of Fishbowl I have?

In the Fishbowl Client, click the Help menu and then select Check Version. You will be notified if you are on the current version or if there is a new update available to download.

Another way of verifying your Fishbowl version is by right clicking on the Fishbowl Server running in the lower right corner of your server computer and choosing Show. The version being run will show next to Version.

Can I undo an update?

To return to a previous version of Fishbowl, uninstall the updated version and re-install the previous version. You will need to restore a copy of your old database version that was taken before the update. Any data that was entered into the new version will be lost when you return to the previous version.

WARNING: In some cases a Fishbowl update will make changes to the database that cannot be reversed. Making a backup copy of the database before an update is highly recommended so that the database can be restored to a previous state if necessary.

Who do I contact if I have difficulties or more questions?

For Service Contract questions, please contact your Customer Service Representative at 1-800-774-7085 ext 7, or by emailing supportEmail.pngfishbowlinventory.com

For technical difficulties, please contact support at 1-800-774-7085 ext 3 or by emailing supportEmail.pngfishbowlinventory.com

For training questions, please contact our Training team at 1-800-774-7085 ext 3 or by emailing trainingEmail.pngfishbowlinventory.com

GENERAL QUESTIONS

What is the difference between a part and a product?

A part is purchased from a vendor or manufactured.

A product is sold to customers.

A part could be a single item purchased for resale, or a component used to manufacture an item for resale. Consider the following bicycle business:

  • Some customers purchase individual items, such as wheels, spokes, seats, brakes, handlebars, etc. When you buy these items from a vendor, you are purchasing parts. When you sell the items, you are selling products.
  • Some customers prefer to purchase completely assembled bicycles. In this case, the individual components that you purchase to build the bicycle are the parts, and the bicycle you sell to a customer is the product. You buy parts, and you sell products.

More than one product can be associated with a part, or if a part is never sold, it need not have a product association.

What is the difference between a Location and a Location Group?

A Location is a physical place where inventory items are stored. Examples include stock rooms, sales floors, shelves, loading docks, etc.

A Location Group is a collection of Locations. Examples include an entire warehouse, site, city, etc.

How do I know what will be included in the next Fishbowl Release?

Fishbowl has a Release Notes page that includes all of new features and fixes for all versions of Fishbowl, including the upcoming release.

Why are my parts not showing up in the Inventory module?

If your items are in the Part module, but they are not showing up in the Inventory module, the part may not have any inventory in stock, or it may be a non-inventory type item. To show items that are not in stock, use the Advanced Search.

To add inventory for a part that does not currently have inventory, click the Add Button.png Add button or the Cycle Button.png Cycle button in the module toolbar of the Inventory module. A wizard will be displayed to take you through the process of adding inventory. See Add inventory and Cycle count for more information.

How does the search within Fishbowl work?

Nearly all modules in Fishbowl have a search pane to the left that allows you to search that module. Clicking the Advanced Search button in the search pane will allow much more customization of the search. Fishbowl also offers a wildcard search by using the % symbol as a wildcard for any number of characters. For example, dental%bib would return Dental Large Bib and Dental Small Bib.

What types of costing methods does Fishbowl handle?

For a description of each type of costing method, please see Costing methods.

Why can't I see all of the modules in Fishbowl?

A user will only see a module if they have the appropriate Access Rights for that module. See Assign access rights to a user for instructions on modifying a user's access rights.

Why does Fishbowl export all items over to QuickBooks as FB_Item? Can this be changed?

We are integrating Fishbowl and QuickBooks for the first time. What do we need to do or know beforehand?

The following links will address the process of preparing for the integration, and the steps required to integrate with QuickBooks.

Does Fishbowl print barcodes?

  1. Open the Small.Reports.png Reports module, located in the General group, and double-click the Labels folder in the search pane.
    Label Reports.png
  2. For a description of all available barcode reports, a list of report options, and an image of the report output, see Label Reports.
  3. Double-click a report and then click the Modify Report Button.png Modify Report button to check that the report options are set correctly.
  4. Once the report is displaying the correct information, click the Print button to print the barcodes.

Additional Information

  • Some reports are designed to print multiple barcodes on a sheet, while other reports will print individual barcodes.
  • For a list of Fishbowl barcode hardware, click here.
  • For instructions on printing more than 90 labels, click here.
  • A USB barcode scanner can be used to input data into Fishbowl, just like a keyboard. For example, to add a product to a sales order, place the cursor in the Product field, and then scan the product barcode.
  • Checkout, Fishbowl GO, and Fishbowl GO are also barcode compatible.
  • Custom barcode reports can also be requested or created using iReport.

Why are only the first 90 barcodes printing?

Some barcode reports in Fishbowl may default to printing only 90 barcodes. To view past the first 90 labels, click the Modify Report Button.png Modify Report button and increase the count. If you run into problems with the report timing out, you may need to enter a value in the Skip or Start at Label box and view the report in sections. For example, if you enter 100 in the count field and 50 in the skip field, the report will load labels 50-150.

How do I switch Servers for my Fishbowl database?

The following instructions will be helpful when you are moving your Fishbowl database to a different server.

  1. Make a backup of your database folder. If your Fishbowl is installed in the default location you can your database file here: C:\Program Files\Fishbowl
  2. If you have images in Fishbowl, copy the entire database folder.
  3. If you have custom reports you will also want to copy the reports folder located (default) in C:\Program Files\Fishbowl\Server
  4. If you do not have images or custom reports and simply want to copy your current database, go to C:\Program Files\Fishbowl\Server\database\data. If your database is internal and was installed to the default directory it will be located in the data folder. Your database will likely be the largest and will have the most recent date. If you are still not sure which database is yours you can find out by right clicking on the Fishbowl Server icon in your system tray and go up to Show. The Database line will show your company name and datafile that Fishbowl is connected to. For example, in the following screen shot you will notice that Bicycles Unlimited is the company name and EXAMPLE.FDB is the name of the database.
  5. Copy the files to a device where you can access them from your new computer, for example, a network drive, a flash drive, a burnable disc, etc.
  6. Install the full version of Fishbowl on the new server computer
  7. You are going to want to copy and paste the files from the old computer onto the new computer by placing them into the exact directory they were retrieved from (these should be the same directories as in steps #1-3).
  8. You will likely need to create a new database connection in order to connect to an existing datafile. If you have questions on this you may view changing your default database for help.
