Icon.Bill of Materials.png The Bill of Materials module, located in the Manufacturing group, is used to create a bill of materials (BOM). A BOM is a list of parts used to manufacture another part. For example, a BOM may be a formula, a recipe, or a list of components needed to assemble an item. BOMs can also be set up in stages, meaning that a BOM can contain another BOM as a subassembly. Once a BOM has been saved, it can be added as a work order in the Icon.Manufacture Order.png Manufacture Order module.

Module buttons

New Button.png New creates a new bill of materials.

Save Button.png Save saves any changes made to the bill of materials.

Delete Button.png Delete deletes the bill of materials.

Quick Build Button.png Quick Build creates a manufacture order and allows it to be picked and fulfilled without leaving the BOM module.

Duplicate Button.png Duplicate creates a copy of a bill of materials. The BOM number will default to Copy of and the original number.

BOM Import Button.png BOM Import allows BOMs to be imported if the BOM Import plugin is installed.

Email Button.png Email opens a window to compose an email. If the module's default report is specified, the PDF report will be attached. Email can be configured on the Email tab of the Icon.Settings.png Settings module.

Print Button.png Print sends the default module report to the printer.

Refresh Button.png Refresh reloads whatever is currently open in the module.

Create a bill of materials

Follow the steps below to create a new bill of materials.

  1. Click the New Button.png New button located on the module toolbar at the top.
  2. Enter the name or number of the BOM in the Number field and a description in the Description field.

  3. The Auto Create option determines if the finished good will be picked from inventory or manufactured when the item is needed on a sales order or a stage. When Never is selected, auto create is disabled and a manufacture order will never be automatically created. Auto create is enabled by selecting one of the following options.
    • Short Quantity - Automatically create a manufacture order for the short quantity if it is short.
    • Order Quantity - Automatically create a manufacture order for the order quantity if it is short.
    • Always Create - Automatically create a manufacture order to replace the needed quantity.
    • Build To Order - Automatically create a manufacture order that must be picked by the parent order.

When creating a new BOM, the Auto Create setting will default to the value set in the Icon.Bill of Materials.png Bill of Materials module options. A BOM can also be created using the CSV import, the Icon.BOM Import.png BOM Import module, the Icon.Data Import.png Data Import module, or by clicking the New BOM button in the Icon.Part.png Part module.

Add items to a BOM

Follow the steps below to add items to a bill of materials.

  1. With the BOM open, click the Add Icon Button.png Add Item button located in the top-left corner of the Items section.
  2. Select from the following types of items that can be added to a BOM.

    • Raw Good - These are the bill of material items that will be consumed when the work order is finished.
    • Repair - These items will not be consumed but their cost may be adjusted when the work order is finished.
    • Finished Good - These are the bill of material items that will be created when the work order is finished.
    • Note - These items do not have a part associated with them. They are just added to provide notes and instructions into the work order.
    • Batch Add - Add multiple finished goods and non-configurable raw goods to the work order.
  3. After selecting the item type, click Next. The remaining steps in the wizard will vary slightly depending on the type of item selected.
  4. Select the Part and enter the Quantity. Raw goods can also be configured with a variable quantity or an option group.

  6. Click Finish to complete the wizard and then click Save to save the BOM.

Each BOM must have at least one raw good and one finished good, or a repair item. Multiple finished goods can be added to a BOM to produce several items.

Edit a BOM item

Follow the instructions below to edit a BOM item.

  1. Load the BOM in the Icon.Bill of Materials.png Bill of Materials module.
  2. In the Items section, highlight the item that will be edited.
  3. Make any changes on the Configuration, Item Information, and Pick Locations tabs.
  4. Click the Save button on the module toolbar to complete any changes.

Configuration tab

The Configuration tab displays the items on the BOM. The buttons in the top-left corner of the Items section can be used for adding, deleting, and arranging BOM items.

The Item Information tab allows many details such as part, description, and quantity to be edited.

  • An item can be specified as a one time item.
  • The default option group item can be set.
  • BOM stages can be configured.
  • The Price Adjustment field is used to adjust the item price on a sales order when an associated work order is created.
    • Price adjustments can be used to increase the sales price if the customer selects a more expensive configuration from an option group.
    • If an item has a variable quantity, the price adjustment allows the price charged to the customer to reflect the variance in quantity.
    • Any raw good can have a price adjustment. Similar to a kit, the price of a finished good could be set by the total of the raw goods price adjustments.
    • Price adjustments only apply if the BOM is configured specifically for the order. For example, if the BOM has an auto create type of Short and the item is not short when adding it to a sales order, the item will be picked from inventory and the price adjustments will not apply.

Pick Locations tab

The Pick Locations tab allows the preferred pick location of each BOM item to be specified for each location group.

  • To always pick from the BOM item pick location, click the Details tab of the BOM and select the option to Pick only from work order location or bill of materials item pick location.
  • If the Pick only... setting on the Details tab is not checked, click the Find Icon Button.png Find button when picking the item to use the BOM item pick location specified here or click the Finish Icon Button.png Finish button when picking the item to use the location determined by the Icon.Picking.png Picking module options.
  • The destination location where the raw good will be placed after picking can be set to the BOM default location or the BOM item pick location.

Add an item with a variable quantity

A variable quantity item allows the item quantity to be easily adjusted at the time that a work order is created. Follow the steps below to add a variable quantity item to a BOM.

  1. Open the BOM, click the Add Icon Button.png Add button, select Raw Good, and then click Next.
  2. Select the part and then click the Variable Quantity checkbox.

  3. Enter the default quantity in the Quantity field. Enter the minimum and maximum quantities in the respective fields. If there is no limit to the maximum quantity, enter 0 for infinite.
  4. Click Finish to complete the wizard and then click Save to save the BOM.

To edit a variable quantity item after it has been added, highlight the item and modify the quantities on the Item Information tab.

Add an item to an option group

An option group allows the raw goods included in each work order to be easily selected from a group of options. Follow the steps below to add an item to an option group.

  1. Open the BOM, click the Add Icon Button.png Add button, select Raw Good, and then click Next.
  2. Select the part and then click the Option Group checkbox.

  3. Select an existing group or click Add New in the Group field to create a new group. If this item is the default for the option group, select the corresponding checkbox.
  4. Click Finish to complete the wizard and then click Save to save the BOM.
  5. To add another part to the option group, simply repeat these steps with the additional part and select the existing option group.

To edit an item in an option group or change the default item, highlight the item and make any changes on the Item Information tab.

Add a one time item to a BOM

When an item is marked as a one time item, the quantity will not be multiplied by the quantity of the work order. For example, if a raw good with a quantity of 5 is included on a work order with a quantity of 100, then typically, 500 of that item would be consumed. However, if the raw good is marked as a one time item, only 5 will be consumed regardless of the work order quantity. This can be helpful for items that are consumed when setting up a machine before manufacturing or any item that has a quantity that is not tied to the work order quantity. Follow the steps below to add a one time item to a BOM.

  1. Follow the instructions to add an item to a BOM.
  2. After the item has been added, highlight the item in the Items section.
  3. Click the One Time Item checkbox on the Item Information tab to the right of the Items section.

  4. Click the Save button on the module toolbar to save the changes made to the BOM.

Add stages to a BOM

The Icon.Bill of Materials.png Bill of Materials module provides the ability to create a BOM with stages. A stage is a BOM that is included on another BOM as a subassembly. Follow the steps below to add a stage to a BOM.

  1. Open the appropriate BOM and click the Add Icon Button.png Add Item button on the left side of Items section.

  2. Select Raw Good, click Next, enter a part that has its own BOM, and then finish the wizard.

  3. Select the raw good that was just added to the list and click the Stage checkbox in the Item Information tab to the right.

  4. In the Stage dropdown, select a BOM that creates the item (if the dropdown is empty, then create a BOM for the selected item).

The Auto Create setting of the subassembly BOM is displayed below the Stage dropdown and can be modified by opening the subassembly BOM and sliding the Auto Create slider.

The Auto Create setting of the subassembly BOM determines if a stage is created for the full quantity or not created at all.

  • Never - A stage is not created.
  • Short Quantity/Order Quantity - A stage for the full quantity is created if there are not enough of the subassembly items available in inventory.
  • Always Create/Build To Order - A stage for the full quantity is created.

When a BOM with stages is added to a manufacture order, each stage will appear as a separate work order. In order to complete the top level BOM, the lower level BOMs must be completed.

The General tab provides a summary of general information for the BOM.

  • The Number field allows a name or number to be set for this BOM.
  • The Active checkbox will show or hide the BOM throughout Fishbowl. Inactive BOMs can be viewed in the advanced search.
  • The Description field stores additional information about the BOM.
  • The URL field can link to any local file, network file, or webpage.
  • The Auto Create type specifies when a manufacturing order will be automatically created. See Create a bill of materials for more details.
  • The Items section displays all of the items on the BOM as well as the Configuration, Item Information, and Pick Locations tabs.

The details section displays important information such as when the BOM was created, when it was last modified, and the last user to make modifications.

  • The Revision field can be used to keep track of how many times the BOM has been revised. This field allows numbers, decimals, letters, and special characters.
  • The Class field can be used to assign a QuickBooks class to the BOM.
  • The Category field sets the default calendar category for the manufacture orders and work orders created from this bill of materials.
  • The Pick only... option will change the default picking location of the raw goods to the location specified on the Default Locations tab of the BOM or the Pick Locations tab of the BOM item. Otherwise, the default location will be determined by the Icon.Picking.png Picking module options.
  • The Statistics section provides information regarding the building history of the BOM. A date range allows statistics to be viewed over a specified time period.
  • The Estimated Time field can be manually set. This value will be used to calculate lead time. Lead time is displayed on the final step of the Add Bill of Materials wizard in the Icon.Manufacture Order.png Manufacture Order module. Lead time is also used in the Icon.Calendar.png Calendar module to calculate when a work order needs to begin in order to meet the scheduled date. This is especially useful when a BOM has several stages.
  • The Notes section can store other important information about the BOM.

  • Custom fields can be created and modified by opening the Icon.Custom Field.png Custom Field module and selecting Bill of Materials from the search pane to the left of the module.
  • To search using the custom fields, click the Advanced Search button in the search pane to the left and then click the Custom tab.


MODULE OPTIONS

Some aspects of the Icon.Bill of Materials.png Bill of Materials module can be customized by opening the module, clicking the Tools menu, and then selecting Module Options.

  • Default Auto Create Type
When creating a new BOM, the Auto Create field will default to the value set here.
  • Search in BOM descriptions for drop downs
With this option turned on, the BOM description will also be searched when typing into the BOM field of the manufacture order.
  • Instructions name
This option will change the name of the Instructions tab.
