Icon.Bill of Materials.png The Bill of Materials module, located in the Manufacturing group, is used to create a bill of materials (BOM). A BOM is a list of parts used to manufacture another part. For example, a BOM may be a formula, a recipe, or a list of components needed to assemble an item. BOMs can also be set up in stages, meaning that a BOM can contain another BOM as a subassembly. Once a BOM has been saved, it can be added as a work order in the Small.Manufacture Order.png Manufacture Order module.

New Button.png New creates a new bill of materials.

Save Button.png Save saves any changes made to the bill of materials.

Delete Button.png Delete deletes the bill of materials.

Quick Build Button.png Quick Build creates a manufacture order and allows it to be picked and fulfilled without leaving the BOM module.

Duplicate Button.png Duplicate creates a copy of a bill of materials. The BOM number will default to Copy of and the original number.

Email Button.png Email attaches the module's default report to an email, if email is configured.

Print Button.png Print sends the default module report to the printer.

How To Button.png How To opens this article in a web browser.

Refresh Button.png Refresh reloads whatever is currently open in the module.

Create a bill of materials

Follow the steps below to create a new bill of materials.

  1. Click the New Button.png New button located on the module toolbar at the top.
  2. Enter the name or number of the BOM in the Number field and a description in the Description field.

  3. The Type field can be customized and allows BOMs to be searched and sorted by type. However the type does not change how the BOM behaves. If a BOM for assembling a BB2001 is changed to have a type of Disassemble, this won't actually change the raw goods and finished goods produced by the BOM. To reverse a BOM, select Reverse when adding the BOM to a manufacture order.
  4. The Auto Create type determines if the finished good will be picked from inventory or manufactured when the item is needed on a sales order or a stage. Select the Auto Create type from the following options.
    • Never - A manufacture order for this BOM will never be automatically created.
    • Short Quantity - Automatically create a manufacture order for the short quantity if it is short.
    • Order Quantity - Automatically create a manufacture order for the order quantity if it is short.
    • Always Create - Automatically create a manufacture order to replace the needed quantity.
    • Build To Order - Automatically create a manufacture order that must be picked by the parent order.

When creating a new BOM, the Type and Auto Create settings will default to the values set in the Small.Bill of Materials.png Bill of Materials module options. A BOM can also be created using a CSV Import or by clicking the New BOM button in the Small.Part.png Part module.

Add items to a BOM

Follow the steps below to add items to a bill of materials.

  1. With the BOM open, click the Add Icon Button.png Add Item button located in the top-left corner of the Items section.
  2. Select from the following types of items that can be added to a BOM.

    • Raw Good - These are the bill of material items that will be consumed when the work order is finished.
    • Repair - These items will not be consumed but their cost may be adjusted when the work order is finished.
    • Finished Good - These are the bill of material items that will be created when the work order is finished.
    • Note - These items do not have a part associated with them. They are just added to provide notes and instructions into the work order.
    • Batch Add - Add multiple finished goods and non-configurable raw goods to the work order.
  3. After selecting the item type, click Next. The remaining steps in the wizard will vary slightly depending on the type of item selected.
  4. Select the Part and enter the Quantity. Raw goods can also be configured with a variable quantity or an option group.

  5. Click Next to add a description and any instruction notes. Instructions, images, and URLs can be added on the Instructions tab. Notes can also be added as BOM items (see step 2 above).

  6. Click Finish to complete the wizard and then click Save to save the BOM.

Each BOM must have at least one raw good and one finished good, or a repair item. Multiple finished goods can be added to a BOM to produce several items.

Edit a BOM item

Follow the instructions below to edit a BOM item.

  1. Load the BOM in the Small.Bill of Materials.png Bill of Materials module.
  2. In the Items section, highlight the item that will be edited.
  3. Make any changes on the Configuration, Item Information, Pick Locations, and Instruction tabs.
  4. Click the Save button on the module toolbar to complete any changes.

Configuration tab

The Configuration tab displays the items on the BOM. The buttons in the top-left corner of the Items section can be used for adding, deleting, and arranging BOM items.

The Item Information tab allows many details such as part, description, and quantity to be edited.

The Pick Locations tab allows the preferred pick location of each BOM item to be specified for each location group.

Instructions tab

Follow the steps below to add instructions to a BOM.

  1. After adding items to a BOM, click the Instructions tab in the Items section.

  2. All of the items included on the BOM will have a corresponding instruction line item. Use the blue arrows located in the top-left corner of the Items section to rearrange the instructions. If the line items don't move when clicking the arrows, click the column header with a small arrow to remove the sort order.
  3. Add instruction notes, an image, or a URL. A URL can be a link to any local file, network file, or webpage.
  4. Click the Save button on the module toolbar to complete the changes.

Instructions notes are displayed on the BOM Instructions report. Instructions notes, URLs, and images are displayed on the Work Order Instructions report. To display images on the Work Order Instructions report click the Modify Report Button.png Modify Report button, click the Optional tab, and select the checkbox to Show Image. To save this as default for the report, click the Save Icon Button.png Save Filters button located in the bottom-left corner of the Modify Report window.

Add an item with a variable quantity

A variable quantity item allows the item quantity to be easily adjusted at the time that a work order is created. Follow the steps below to add a variable quantity item to a BOM.

  1. Open the BOM, click the Add Icon Button.png Add button, select Raw Good, and then click Next.
  2. Select the part and then click the Variable Quantity checkbox.

  3. Enter the default quantity in the Quantity field. Enter the minimum and maximum quantities in the respective fields. If there is no limit to the maximum quantity, enter 0 for infinite.
  4. Click Finish to complete the wizard and then click Save to save the BOM.

To edit a variable quantity item after it has been added, highlight the item and modify the quantities on the Item Information tab.

Add an item to an option group

An option group allows the raw goods included in each work order to be easily selected from a group of options. Follow the steps below to add an item to an option group.

  1. Open the BOM, click the Add Icon Button.png Add button, select Raw Good, and then click Next.
  2. Select the part and then click the Option Group checkbox.

  3. Select an existing group or click Add New in the Group field to create a new group. If this item is the default for the option group, select the corresponding checkbox.
  4. Click Finish to complete the wizard and then click Save to save the BOM.

To edit an item in an option group or change the default item, highlight the item and make any changes on the Item Information tab.

Add a one time item to a BOM

When an item is marked as a one time item, the quantity will not be multiplied by the quantity of the work order. For example, if a raw good with a quantity of 5 is included on a work order with a quantity of 100, then typically, 500 of that item would be consumed. However, if the raw good is marked as a one time item, only 5 will be consumed regardless of the work order quantity. This can be helpful for items that are consumed when setting up a machine before manufacturing or any item that has a quantity that is not tied to the work order quantity. Follow the steps below to add a one time item to a BOM.

  1. Follow the instructions to add an item to a BOM.
  2. After the item has been added, highlight the item in the Items section.
  3. Click the One Time Item checkbox on the Item Information tab to the right of the Items section.

  4. Click the Save button on the module toolbar to save the changes made to the BOM.

Add stages to a BOM

The Small.Bill of Materials.png Bill of Materials module provides the ability to create a BOM with stages. A stage is a BOM that is included on another BOM as a subassembly. For example, a company may have a BOM for assembling a wheel and a BOM for assembling a bicycle. If the wheel is added as a stage to the bicycle BOM, then the wheel will be assembled as part of the bicycle assembly. If the wheel is not marked as a stage, then a previously assembled wheel can be picked from inventory to complete the bicycle assembly. Follow the steps below to add a stage to a BOM.

  1. Open the appropriate BOM and click the Add Icon Button.png Add Item button at the top of the Item List.

  2. Select Raw Good, click Next, enter a part that has its own BOM, and then finish the wizard.

  3. Select the raw good that was just added to the list and click the Stage checkbox in the Item Information tab to the right.

  4. In the Stage dropdown, select a BOM that creates the item (if the dropdown is empty, then create a BOM for the selected item).

The Auto Create setting of the subassembly BOM will determine when a stage is created. For example, if the wheel BOM is set to Short Quantity or Order Quantity, then a stage to assemble the wheel will only be created when there are not enough pre-assembled wheels available in inventory. The Auto Create setting of the subassembly BOM will be displayed below the Stage dropdown. The Auto Create setting of the subassembly can be modified by opening the subassembly BOM and sliding the Auto Create slider.

When a BOM with stages is added to a manufacture order, each stage will appear as a separate work order. In order to complete the top level BOM, the lower level BOMs must be completed.

Create a custom BOM type

Each BOM is assigned a type. The Type field is located to the right of the Number field on the General tab. The Type field can be customized and allows BOMs to be searched and sorted by type. However the type does not change how the BOM behaves. If a BOM for assembling a BB2001 is changed to have a type of Disassemble, this won't actually change the raw goods and finished goods produced by the BOM. To reverse a BOM, select Reverse when adding the BOM to a manufacture order. Follow the instructions below to customize the BOM types.

  1. Open the Small.Custom Field.png Custom Field module, located in the Setup group.
  2. Click on the Custom Lists tab and then double-click BOM Type.
  3. Click Next in the wizard and then click the New Icon Button.png New button to add a new BOM type.

  4. Click Finish to complete the wizard.

BOM types can also be used for the Manufacture Order type.

The General tab provides a summary of general information for the BOM.

The details section displays important information such as when the BOM was created, when it was last modified, and the last user to make modifications.

The Default Locations tab allows each BOM to be customized by setting the manufacturing location for each location group. This is the assembly location where raw goods are placed after picking.
Memo tab

The Memo tab can be used to add information to each BOM. The upper pane displays the memos, the date they were created, and the user that created them. Highlighting a memo will display the details of the memo in the lower pane.

The Custom tab stores additional fields for the BOM that can be customized to fit the needs of each company.

MODULE OPTIONS

Some aspects of the Small.Bill of Materials.png Bill of Materials module can be customized by opening the module, clicking the Tools menu, and then selecting Module Options.

When creating a new BOM, the Type field will default to the value set here. The Type values are customizable but have no effect on how the BOM behaves.
When creating a new BOM, the Auto Create field will default to the value set here.
With this option turned on, the BOM description will also be searched when typing into the BOM field of the manufacture order.
